• Meeting recordings, transcripts, and notes, with your permission.

• Information necessary to process payments and provide consulting services.

I aim to collect only information reasonably necessary for the services I provide.

2. How Your Information Is Used

Your information may be used to:

• Schedule appointments and communicate with you.

• Understand your business needs and identify opportunities for improvement.

• Prepare assessments, recommendations, reports, and project documentation.

• Provide ongoing consulting support.

• Refer to previous conversations when assisting you in the future.

• Process payments and maintain necessary business records.

• Send business updates or marketing communications where you have provided consent or where otherwise permitted by law.

I do not sell your personal information.

3. Meeting Recordings and Transcriptions

With your permission, consultations may be recorded and transcribed using Fathom, an AI meeting assistant.

I will ask for your consent before recording begins. Recording is optional.

Recordings and transcripts help me accurately understand your business needs, prepare recommendations, and refer to previous discussions during future work together.

You may request access to your recording or ask for a copy.

Recordings are not published or shared with other clients without your permission.

4. Use of Artificial Intelligence

Flow Forward Consulting uses AI technology to support research, workflow analysis, and the preparation of business recommendations.

Claude, developed by Anthropic, is my primary AI analysis tool.

With your knowledge and appropriate consent, relevant information from consultations, including transcripts and business details, may be processed using Claude to help identify opportunities and develop recommendations.

AI-generated recommendations are reviewed before being presented to clients.

I do not intentionally submit sensitive personal information that is unnecessary for an assessment. Please avoid sharing customer passwords, financial account credentials, or confidential personal information unless specifically required and appropriate safeguards have been agreed upon.

5. Third-Party Services

I use, or may introduce, trusted third-party platforms to operate Flow Forward Consulting.

These include:

• Google Workspace, Google Calendar, and Google Meet: Email, appointment scheduling, meetings, and document storage.

• Fathom: Meeting recordings and transcription.

• Claude (Anthropic): AI-assisted analysis and recommendations.

• Stripe: Secure payment processing.

• Notion: Potential future use for client project documentation, reports, and shared resources.

These service providers operate under their own privacy policies and security practices. Information processed through them may be stored or handled outside Canada, depending on the provider and service settings.

I aim to limit the information shared with each provider to what is necessary for the intended purpose.

6. Confidentiality and Information Security

I take reasonable steps to protect client information from unauthorized access, use, or disclosure.

Client recordings, reports, and project documents are intended to be accessible only to me, the relevant client, authorized participants, and service providers necessary to deliver the services.

I do not share your confidential business information with other clients or use it in public examples, testimonials, or case studies without appropriate permission.

No digital storage or transmission system can guarantee absolute security.

7. How Long Information Is Kept

I retain client information, including recordings, transcripts, and project documents, for as long as reasonably needed to provide services, support future work with the same client, maintain necessary business records, or meet legal obligations.

I periodically review information to determine whether continued retention is necessary.

When information is no longer required, I take reasonable steps to delete it, securely dispose of it, or remove identifying details where appropriate.

You may contact me to request deletion of your information, subject to applicable legal or contractual requirements.

8. Email Communications

If you choose to subscribe to Flow Forward Consulting updates or marketing emails, your information may be used to send relevant business news, educational content, or service announcements.

Marketing emails will be sent in accordance with applicable Canadian anti-spam legislation.

You may unsubscribe from promotional communications at any time.

Booking confirmations and essential service-related communications are separate from optional marketing messages.

9. Testimonials and Case Studies

I may occasionally invite clients to share feedback or participate in a case study.

Your name, business identity, testimonials, project details, or results will not be published for promotional purposes without your permission.

10. Website Information

Flow Forward Consulting uses Google Sites to operate its website.

The website does not currently use a separately configured analytics service operated by Flow Forward Consulting.

Google and other services used to display the website may process technical information according to their own policies.

If additional analytics or tracking tools are introduced, this policy will be updated as appropriate.

11. Your Privacy Choices and Rights

You may contact Flow Forward Consulting to:

• Ask what personal information I hold about you.

• Request access to or correction of your personal information.

• Request deletion of information, where applicable.

• Withdraw consent for optional processing, subject to legal or contractual limitations.

• Ask questions or raise concerns about how your information is handled.

I will respond to privacy requests in accordance with applicable privacy legislation.

This Privacy Policy may be updated as my services, technology, or legal obligations change.
